Signexa Digital Privacy Policy

Who we are

Signexa Digital is a digital signage platform operated by ProAdvance Pty Ltd. Businesses use our dashboard to manage content and our player apps to show that content on their screens. This policy covers the Signexa Digital dashboard, the Signexa Player apps (including the Android app), and our websites.

What we collect

Dashboard accounts

Name, email address, a cryptographically hashed password, optional two-factor authentication secrets, your role in the organisation, and session records. We use these to sign you in and to run your organisation’s account. Invitation and notification emails are delivered by our email provider, SMTP2GO.

Screens and player devices

When a screen is paired we store a randomly generated device identifier, the device’s IP address, its player app version, and when it was last seen online. Screens may periodically upload a snapshot of the content they are currently displaying so your dashboard can show you what is on each screen. The player apps do not access cameras, microphones, location, contacts, or anything else on the device beyond what is needed to display your content.

Player devices also send us technical diagnostics so we can tell you why a screen is misbehaving without visiting it: a short log of the player’s own operation — when it started, what web engine the device runs, when it recovered from a fault, when a page failed to load — and, if the app crashes, the error and where in our code it happened. These describe the device and our software, never the people near the screen, and we delete them automatically after 14 days.

Screens record what they played and for how long, so you can report on your own content. These playback records are about the screen’s activity, not any viewer: nothing measures, counts or identifies the people who see your screens.

Your content and integrations

Media you upload, playlists, schedules and app configurations are stored so your screens can play them. If you connect an integration (for example Xero, Power BI, or a property listings provider), we store the access credentials for that connection and use them solely to fetch the data your screens display. Screens showing embedded content (for example YouTube or Vimeo) load that content directly from the provider, whose own terms and privacy policies apply.

What we don’t do

We do not sell personal information, serve advertising, build advertising profiles, or track the people who look at your screens. The platform has no audience analytics, cameras or viewer measurement of any kind.

Where data lives

Our infrastructure runs on Amazon Web Services in Melbourne, Australia (ap-southeast-4). Data is encrypted in transit (TLS) and at rest.

Overseas recipients

Your data is stored in Australia, but some of it is disclosed to service providers located overseas, and our content delivery network serves requests from locations outside Australia.

The main one is our email provider, SMTP2GO (United States), which delivers team invitations and therefore receives the invitee’s email address, the inviter’s name and your organisation’s name. Where you connect an integration — for example Microsoft Power BI, Xero, or a property listings provider — the credentials and data for that connection are exchanged with that provider, which may be overseas. Where you configure a screen to show third-party content (for example a YouTube or Vimeo video, a Canva design, a weather widget or a flight board), the screen loads that content directly from the provider, which learns the screen’s IP address. Our player apps on Windows and Linux check for updates from GitHub, which likewise sees the device’s IP address.

Before disclosing personal information overseas we take reasonable steps to ensure the recipient handles it consistently with the Australian Privacy Principles. A current list of our service providers, what each receives, and where each is located is available on request from the contact below.

Retention and deletion

We keep data while your organisation’s account is active. Unpairing a screen (from the dashboard, or from the device itself) removes its binding; deleting a screen removes its records. When an organisation account is closed, its data is deleted. Your rights

We handle personal information in line with the Australian Privacy Principles. You may request access to or correction of your personal information. If you have a complaint we will respond within a reasonable period; you may also complain to the Office of the Australian Information Commissioner (oaic.gov.au).

Children

Signexa Digital is a business tool and is not directed at children.
